Choosing the wedding venue is one of the most important decisions in the wedding planning process. The venue sets the tone for the entire celebration and impacts everything from the guest experience to the budget. To make the best decision, it’s crucial to ask the right questions during your tour. Below are 30 essential questions to help you gather all the necessary details and ensure the venue aligns with your vision.
General Venue Information
1. Is my desired wedding date available?
· Some venues like Montagu Meadows, a barn wedding venue in Westminster, MD are seasonal venues. These venues are only open for limited months. For example, Montagu Meadows is open from May through October for wedding receptions and events. Before falling in love with a venue, make sure they have availability for your preferred date. If not, ask about alternative dates.
2. What is the venue’s capacity?
• Ensure the venue can comfortably accommodate your guest list. Some venues have different capacities for seated versus standing receptions.
3. What is included in the rental fee?
• Ask about tables, chairs, linens, decor, and any extras. Some venues provide everything, while others require outside rentals.
4. How long do we have access to the venue on the wedding day?
• Find out what time you can arrive and when you must be finished, including time for set-up and clean-up. Montagu Meadows offers a 3-day-rental period.
5. Are there different pricing options for peak and off-peak seasons?
• Many venues have different rates for weekends, weekdays, and different times of the year.
6. Is there a getting-ready space for the bride and groom?
• A comfortable space for both parties to prepare can make the day smoother and more enjoyable. Also find out if you are allowed to leave your personal items in the getting ready room during the ceremony and reception.
Logistics & Restrictions
7. What are the parking and transportation options?
• Ask if the venue has on-site parking, valet services, or shuttle options for guests. Montagu Meadows offers on-site parking with handicap drop off or valet parking.
8. Are there any noise restrictions or curfews?
• Some venues have strict noise ordinances or require music to be turned off by a certain time.
9. Do you have a backup plan for outdoor ceremonies in case of
bad weather?
• If the venue has an outdoor space, make sure there’s a solid indoor alternative in case of rain or extreme weather. At Montagu Meadows, we can set up the reception and cocktail hour inside the barn that has four walls. We can keep your guests, and the couple dry plus we have hardscape all around the barn. No walking in wet muddy grass all night.
10. What is the restroom situation?
• Ensure there are enough restrooms for your guest count and that they are easily accessible.
11. Do you allow outside vendors, or do we have to use preferred vendors?
• Some venues require you to use their in-house catering and vendors, while others allow you to bring in your own. Montagu Meadows allows insured outside vendors. Caterers must work out of a licensed kitchen. We do provide the couple a list of preferred vendors who we have a good working relationship with.
12. Are there any decor restrictions?
• Ask about rules regarding candles, confetti, sparklers, and hanging decorations. Montagu Meadows does not allow open flame. We do allow LED candles which we supply.
13. Is there a designated area for the ceremony, cocktail hour, and reception?
• Understanding how the flow of events will work at the venue is essential for planning. Montagu Meadows offers several ceremonies sites outside including pond view and the orchard and one indoor spot in the barn. We have two cocktail areas one on a 3,000+ paver spot in front of the barn. We supply the high top and whiskey barrel tables for the cocktail hour. Our 1850’s barn is used for receptions.
14. What time can vendors arrive for setup?
• Some venues have strict timelines for when vendors can start setting up and when everything must be packed up. Montagu Meadows allows for setup on Friday night plus Saturday morning. Sunday morning is used to make sure everything is straighten up and any outside rentals returned. We try and provide a stress-free environment.
15. What’s the plan for event breakdown and clean-up?
• Find out who is responsible for cleaning up and whether you need to remove décor the same night. Full-service catering and coordinators are available to help with clean up.
Catering & Bar Services
16. Do you have in-house catering, or can we bring in our own caterer?
• If the venue provides catering, ask for menu options, pricing, and whether tastings are available. Montagu Meadows allows you to choose an insured, licensed caterer of your choice.
17. Can we provide our own alcohol, or do you have a bar package?
• If the venue provides alcohol, ask about pricing, drink options, and whether they allow BYOB. Montagu Meadows allows couples to purchase their own alcohol. It must be placed behind the bar and served by a certified and liquor liability insured bartender.
18. Are there any food or beverage minimums? Do you accommodate dietary restrictions and special meal requests?
• Some venues require a minimum spend on food and drinks. Montagu Meadows does not have these requirements. Ensure your caterer can cater to vegan, gluten-free, or allergy-sensitive guests.
19. Does your venue offer water views?
• Montagu Meadows has a pond and stream that you will fall in love with.
20. Is there a cake-cutting fee?
• Some venues charge extra for cake-cutting services if the cake is brought from an outside bakery.
Entertainment & Extras
21. Is there a designated dance floor?
• If dancing is a big part of your celebration, ensure the venue
has a suitable space. At Montagu Meadows, dancing can happen inside or outside in front of the barn.
22. What are the electrical and sound system options?
• Ask if the venue if they provide speakers, microphones, and a sound technician or if your DJ/band needs to bring their own. Montagu Meadows allows insured DJ’s and Bands on their premises.
23. Are fireworks, sparklers, or special effects allowed?
• Some venues have restrictions on open flames and fireworks for safety reasons. Montagu Meadows allows sparklers outside of the barn.
24. Do you provide signage or direction for guests?
• For large venues, having directional signs can help guests navigate easily.
25. Are there any hotel accommodations nearby for guests?
• If many guests are traveling from out of town, ask if the venue has partnerships with local hotels. Montagu Meadows has two hotels and Airbnb’s within 4 miles of the venue.
Pricing & Payment
26. What is the deposit amount, and when is the final payment due?
• Get clarity on payment schedules, refund policies, and any late fees.
27. What is your cancellation and refund policy?
• Understand what happens if you need to cancel or reschedule due to unforeseen circumstances. Montagu Meadows always recommends cancelation insurance.
28. Do you offer any discounts or package deals?
• Some venues offer lower rates for off-season weddings, military discounts, or all-inclusive packages.
29. Are there any hidden fees?
• Ask about service charges, gratuities, overtime fees, and additional costs that may not be included in the initial quote.
30. Do you have event insurance requirements?
• Some venues require couples to purchase event liability insurance. Montagu Meadows requires the couples to purchase Day of Liability insurance. We also recommend cancellation insurance.
